1. Job Summary:

The HR Services Executive is responsible for handling all administrative tasks related to visa, work permit, and temporary residence card (TRC) for expatriate teachers and staff, ensuring compliance with Vietnamese labor and immigration regulations. The position works closely with foreign employees, HR, and relevant government authorities to provide efficient and compliant HR services.

 

2. Key Responsibilities:

A. Work Permit, Visa & TRC Management:

  • Prepare and process documents for work permit application, renewal, and cancellation for expatriate teachers/staff.
  • Handle visa application, extension, and conversion procedures.
  • Manage temporary residence card (TRC) applications, renewals, and cancellations.
  • Maintain accurate records of all expatriates’ legal documents and ensure all are valid and up-to-date.
  • Liaise with government offices (e.g., Department of Labor, Immigration Office) to ensure legal compliance.
  • Provide guidance to foreign staff regarding immigration requirements and document preparation.

B. HR Administrative Support:

  • Maintain and update employee profiles for expatriate staff in HRIS and personnel files.
  • Support the onboarding process for new foreign teachers (document check, induction schedule, etc.).
  • Coordinate with the Recruitment, Academic, and Admin teams to support teachers’ arrivals, contracts, and departures.
  • Track visa/work permit/TRC expiry dates and prepare timely renewal reminders.
  • Support HR reporting, audits, and other HR projects as assigned.

C. Compliance & Reporting:

  • Ensure all HR and immigration processes comply with Vietnamese labor and immigration laws.
  • Maintain confidentiality and integrity in handling employee information.
  • Prepare monthly/quarterly reports on the status of foreign staff documentation for HR Manager and management team.

D. Work Conditions:

  • Workplace: 803A Nguyễn Hữu Thọ, Phước Kiển, Nhà Bè, HCMC
  • Working hours: Monday – Friday and 2 Saturday mornings/month.
  • Occasional travel to government offices for document submission and collection.

Requirements

  • Bachelor’s degree in HR Management, Business Administration, or related fields.
  • Minimum 2 years of experience in HR operations or visa/work permit administration (preferably in education or international environment).
  • Good understanding of Vietnamese labor and immigration regulations.
  • Strong organizational and documentation skills.
  • Excellent communication skills in English and Vietnamese (both written and verbal).
  • Proficient in Microsoft Office, Google Workplace
  • High attention to detail, responsibility, and ability to work independently.
